Appointment Reminder Service

The reminder service is a simple way for us to remind you the patient of your upcoming appointment and is available to all* our patients who have appointments across our Trust locations.

The first reminder you will receive will be an automated voice call 7 days prior to your appointment.  The call will allow you to confirm your attendance or cancel/re-book the appointment by pressing keys on your telephone keypad.   If you want to cancel or re-book your appointment the system will put you through to our appointments hotline team* who will be able to deal with your request. 

The second reminder you will receive will be a text message to your mobile phone 2 days prior to your appointment.

Frequently Asked Questions (FAQs)
What if I am not available to take the call or miss the call?
Don’t worry we will try you again 6 days before your appointment and 5 days before your appointment.

What if I miss these other calls?
If you miss these calls too there is no need to worry as your appointment will still stand.  There is no need for you to contact the hospital unless you need to cancel or re-book your appointment, in which case contact the number at the top of your appointment letter as soon as possible.

How will I know that it is the hospital calling?
We use the number 01244 393990 number to send out our voice reminder to patients, however please note that this is not a return call number.  Patient’s wishing to contact the Trust should contact the appropriate appointments team or dial the main Trust number 01244 365000.

What do I do if I don’t want to receive these appointment reminders anymore?
All patients are opted in to our reminder service however if you do now wish to receive the calls and/or text messages then please let us know the next time you visit us or alternatively you can ring the appointments team** who will be able to update your record accordingly. 

I do not want voice calls but can I still receive a text message reminder for my appointment?
Unfortunately No.   You can, however opt which telephone we contact you on, for instance you can receive your reminders just to your mobile or just to your landline.  If you opt to receive reminders just to your landline you will not receive a text message reminder.

I have changed my contact details/moved house will I still receive an appointment reminder?
Please make sure that you inform us of any changes to your contact details as soon as possible.  Your appointment reminder will be sent to the phone numbers we have on your record, so it is important that you inform us of these changes, or you may risk not receiving your reminder.

I have received an appointment reminder for an appointment I wasn’t aware of?
Don’t panic, simply contact the appointments team and they will be able to check the appointment details with you.

I have received an appointment reminder for another person
Please contact us and we can ensure that we have the correct details, and update our records as necessary.

* Some clinics are excluded from this service such as sensitive nature clinics.  There are also age restrictions in place in line with our Information Governance policies
** Opening hours  8:00am-5:30pm Mon-Thur, 8:00am-17:00pm Fri. Closed Bank Holidays.  An answering machine will be in place outside of these hours.
